Helios Version 12.4 Update for Enterprise

This update contains new features as well as the culmination of enhancements and fixes to date.

Users Effected:

This update will apply to all users of Helios Version 12 Enterprise. Any client-side application updates should be received by each workstation and installed automatically by the Helios Auto-Update utility.

Required User Action:

There is no action required by users to apply the update or related to any of the features or enhancements included in this update.

New Features:

e-Document: The e-Document feature is comprised of two functions: Digital Signature Capture and Electronic Document Management. Together, these functions add a much-requested new feature to Helios 12, namely the ability to digitally sign contracts and release forms as well as store signed documents electronically. Full functionality of this feature does require the purchase of a digital signature capture pad and the availability of Microsoft Word 2007-2010 on the Helios workstation.

Feature Enhancements:

EFT Suspend Logic: The EFT Suspend logic has been enhanced to accommodate franchise applications in which the EFT Balance is not shared between locations. The Membership will display in red to indicate that it is unavailable for use because the EFT Balance is due at another location but other packages and memberships remain available to the customer.

Daily Sales and Division/Department Report: The payment of an in-house charge balance was formerly inflating the total sales because revenue was reported for the original transaction and then recorded again as the payment transaction. Payment transactions are now excluded from the total sales calculation and are summarized separately below the total sales for reference purposes only. This modification is strictly a reporting formula change and reports run prior this update can be rerun to produce more accurate totals.

Tax Liability Report: (formerly Sales Tax Report) The payment of an in-house charge balance was formerly inflating the tax liability because tax was reported for the original transaction and then recorded as part of the payment transaction. Payment transactions are now excluded from the tax liability calculation and are summarized separately below the tax liability for reference purposes only. This modification is strictly a reporting formula change and reports run prior this update can be rerun to produce more accurate totals.

Exempt Fingerprint Report: The report can be run for a date range and includes an indicator whether the client’s fingerprint is currently exempted or not. A summary by employee has also been added.

Employee Time Clock Report: The employee total hours worked is displayed in both HH:MM format and decimal format in order to accommodate different payroll entry formats.

Room Status View: The room status view has been updated to not display unassigned rooms. Rooms with no location code or the location code set to OFF will no longer be displayed as black box entries. This does affect the numbering sequence of the viewable rooms and it is possible for even- and odd-numbered rooms to appear in the same column now.

Location Code options:

[blank] or OFF = room is offline and unavailable to clients; will not appear in Room Status screen

A01-A64 = room connected to T-Max

DIS = room is not connected to the T-Max but clients can still be sent to room

Bug Fixes:

Point of Sale tax error: Prior to this update, a tax calculation during the point of sale could result in an over-tax or under-tax calculation. The bug in the arithmetic formula has been identified and fixed in this update.

Pay with CC on File: Prior to this update, a credit card on file for an EFT membership was not available for point of sale payments until the EFT billing profile start date. This has been modified to allow the credit card on file to be available starting on the membership start date, making it available immediately during the same transaction as the EFT membership enrollment.

Prevent multiple applications: The Helios configuration file has been modified to prevent multiple instances of the point of sale application to be launched as this can cause timer conflicts and potential security issues. This is also an issue which has arisen for users with the Microsoft Windows 8 Metro interface.

Backoffice display location: When navigating between the File Management and Report modules in backoffice, the display location would reset back to the first location in the list. This has been fixed to remain on the desired location.

Known Issues:

There are no known issues with this update.
